It applies to our website socaislands.com, our booking portal (My Trips), our partner portal, and the way we communicate with you by email, chat, phone and WhatsApp. **1. WHO WE ARE** Soca Islands LLC ("Soca Islands", "we", "us") is the data controller responsible for your personal information. Address: 480A Chauncey Street, Brooklyn, New York 11233, USA. WHAT WE COLLECT** When you enquire, book or travel with us, we collect what we need to arrange and run your trip: - **Contact and account details:** name, email address, phone number, country, and your account sign-in details. - **Traveller details:** date of birth, gender, nationality, address, T-shirt size where a trip includes merchandise, emergency contact, and flight details. - **Passport details and copies,** which we need for hotels, transport, event access and immigration requirements. - **Information you choose to give us** to make your trip work, such as dietary needs, accessibility needs, medical information relevant to your safety, and your roommate preferences and roommate questionnaire answers. We use this only to run your trip and share it only with the suppliers who need it. - **Booking and payment information:** your trips, payment schedule and payment history. Card payments are processed by Stripe. We do not see or store your full card number. If you choose automatic instalments, Stripe keeps your card on file so we can charge the scheduled payments you authorised. - **Communications:** emails, chat conversations (including with our chat assistant), calls, WhatsApp messages and survey answers. - **Travel profile quiz answers,** such as the kind of trip, dates, group size and budget you prefer. - **Website and device information:** IP address, browser and device type, pages visited, how you arrived, and, with your consent, analytics and session replay (see section 6). **3. HOW WE USE IT, AND WHY** - **To provide your booking** (our contract with you): reserving and running your trip, taking payments, sending booking documents and updates, and supporting you before, during and after travel. - **To meet legal obligations:** accounting, tax, fraud prevention, and responding to lawful requests from authorities. - **For our legitimate interests:** answering enquiries, improving our trips, website and service, keeping our systems secure, and handling complaints and legal claims. - **With your consent:** marketing emails and messages, analytics and session replay, and marketing cookies. You can withdraw consent at any time. **4. MARKETING** We send marketing emails, texts or WhatsApp messages only where you have agreed to receive them or where the law otherwise allows it. Every marketing email has an unsubscribe link, and you can also ask us at hello@socaislands.com. Messages about a booking you have made are not marketing and are sent regardless. **5. WHO WE SHARE IT WITH** We never sell your personal information. We share it only as needed with: - **Trip suppliers:** hotels, transport companies, guides, activity providers, event promoters and Carnival bands, including in the countries you visit, so they can provide your services. - **Service providers who process data for us:** Google (Firebase and Google Cloud hosting, Google Analytics), Stripe (payments), Zoho (CRM, help desk, live chat and file storage), Mailgun and Mailchimp (email), PostHog (analytics), Meta (WhatsApp, and the Meta Pixel with your consent), Anthropic (the AI model behind our chat assistant), Sanity (website content) and Cloudflare (form protection). - **The travel advisor or affiliate** who made or referred your booking, limited to that booking. - **Authorities,** where the law requires it, and professional advisers, insurers or a buyer of our business where necessary. **6. COOKIES, ANALYTICS AND SESSION REPLAY** Optional analytics and marketing tools run only after you accept them in the cookie banner, and you can change your choice at any time. With your consent, PostHog records how you use the website and booking portal so we can find and fix problems. Recordings do not capture what you type into forms: all form inputs are masked, sections that show customer details are masked, and payment and passport sections are blocked from recording. INTERNATIONAL TRANSFERS** We are based in the United States, our service providers process data mainly in the United States, and our suppliers are in the countries you travel to, whose data protection laws may differ from yours. Where the law requires, we rely on safeguards offered by our providers, such as standard contractual clauses. **8. HOW LONG WE KEEP IT** - **Passport details and copies:** kept for three years after your most recent booking with us, then deleted. - **Booking, payment and accounting records:** kept for as long as tax and accounting law requires. - **Communications and enquiries:** kept while needed to help you and to handle any complaint or claim. - **Marketing preferences:** kept until you unsubscribe, and the fact that you unsubscribed is kept so we don't contact you again. - **Analytics data:** kept in line with our analytics providers' settings. **9. SECURITY** We use access controls, encryption in transit and reputable cloud providers to protect your information, and we limit access to people who need it. No system is perfectly secure, so please keep your account details private and tell us straight away if you think your account has been misused. **10. YOUR RIGHTS** Depending on where you live, you may have the right to access your information, correct it, delete it, restrict or object to how we use it, receive a copy in a portable format, and withdraw consent. Email hello@socaislands.com. We may need to confirm your identity, and we will reply within one month. If you are not satisfied, you can complain to your data protection regulator: in the UK the Information Commissioner's Office, in the EU your local supervisory authority, and in Canada the Office of the Privacy Commissioner of Canada. **11. CHILDREN** Our trips are for adults unless a trip says otherwise. We collect information about a child only when a parent or guardian books a trip that accepts minors, and only what is needed for the trip. **12. OTHER WEBSITES** Links to other websites are provided for convenience. Their own privacy policies apply. **13. CHANGES TO THIS POLICY** We will post any changes on this page with the date.
